Fund Administration Software for Private Funds

Calls, distributions, allocations and capital accounts on the same record as the portfolio they belong to.

Fund administration goes wrong at the joins. Allocations live in one spreadsheet, calls in another, valuations arrive by email, and the capital account is reconstructed each quarter from all three. The work is not difficult so much as fragile.

Reuben AI holds the vehicle, its investors, its commitments and its holdings as one record, so administration is an operation on that record rather than a reassembly of it.

    Calls and distributions from commitments

Capital calls and distributions are calculated from commitments and the vehicle's terms rather than typed into a notice. Each event is recorded against the investor and the vehicle, so drawn, undrawn and returned capital are always derivable rather than tracked separately.

Notices are produced from the same event, which removes the most common source of investor queries: a notice that does not match the capital account.

    Allocations and capital accounts

Allocations follow the structure of the vehicle, including parallel and feeder arrangements where they exist. Capital accounts are maintained continuously rather than built at reporting time, so a mid-quarter question has an answer.

Waterfall and carry treatment are held as structured terms on the vehicle record, so the calculation reflects the document rather than someone's reading of it.

    Valuations flowing to the statement

A valuation is only useful once it reaches the investor statement. Because holdings, valuations and capital accounts are connected, a mark recorded against a position moves through to the statement without a manual bridge.

The path from valuation policy to reported figure remains inspectable, which is the same evidence an operational diligence review asks a manager to demonstrate.

    Working with an existing administrator

Many funds outsource administration and are not changing that. The realistic question is which system is authoritative for which entity and how identifiers reconcile between them, so the record does not fork.

That mapping is agreed during onboarding rather than discovered later, and it is what allows the platform to sit alongside an administrator rather than compete with one.
