    Investor onboarding software

Onboarding is the moment a signed commitment becomes an investor the fund is legally and operationally responsible for. Done well it takes days. Done badly it produces a folder of PDFs and a spreadsheet that nobody trusts.

    Short answer

    What does investor onboarding involve?

Investor onboarding is the process of taking a committed investor through subscription documents, eligibility and identity checks, tax and bank details, and admitting them to a close. The output should be a live investor record with a commitment, a capital account, a reporting entitlement and a portal login, not a set of files.

    The steps, in plain English

Onboarding checks three things: that the investor is allowed to invest, that they are who they say they are, and that the fund knows where the money is coming from and going back to.

The specific rules depend on where the fund is and where the investor is. An Australian wholesale certificate, a United States accreditation question, a Singapore or Luxembourg eligibility test and a European suitability requirement are different checks with the same purpose.

    • Eligibility: is this investor permitted to invest in this vehicle under local rules.
    • Identity and beneficial ownership checks.
    • Source of funds and screening.
    • Subscription documents, signed and countersigned.
    • Tax forms and residency details.
    • Bank details for calls and distributions.
    • Admission to a close, and the start of the capital account.

    Where onboarding usually breaks

The common failure is that the checks happen in one place, the documents in another and the fund record in a third, so nobody can answer a simple question later: which version of the subscription document did this investor sign, and who approved their eligibility.

The second failure is entity investors. A trust, a nominee, a feeder or a family office structure produces more than one legal name, and the record has to hold the relationship rather than flatten it.

How this runs in Reuben AI

Onboarding runs inside the platform, and the investor lands in the LP portal at the end of it, with their commitment, called and distributed amounts and upcoming cashflow visible from the first day.

Australian wholesale investor certification and licensee sign off are supported as workflows, aligned to the requirements a licensed Australian manager already works to.

Because onboarding, commitments and calls share the same record, the first capital call goes to the right entity at the right bank details without a re-entry step.

    What stays off the platform

Being honest about the boundary is more useful than claiming everything. Reuben AI is not an auditor, a law firm, a tax agent, a bank or a licensed administrator, and it does not sign anything that those roles have to sign.

What the platform does is hold the records those people need in a form they can accept, and produce the packs on request rather than at the end of a two week scramble.

    • Audit opinion and assurance work: your auditor.
    • Fund formation documents and legal advice: your counsel.
    • Tax filings and returns: your tax adviser.
    • Holding client money and moving it: your bank and payment providers.
    • Licensed administration or trustee duties where local rules require a licence: your administrator or trustee.

    Common questions

Does Reuben AI perform identity verification itself?
Identity, screening and verification steps are recorded and tracked as part of onboarding, using the checks and providers your compliance policy requires. The regulated decision remains yours.
Can it handle trusts, nominees and feeder vehicles?
Yes. Investors can be held as entities with their relationships intact, including feeders and child vehicles under a parent fund.
What does the investor see at the end?
A portal showing their commitment, what has been called, what has been distributed and what cashflow is expected, branded to the manager.
