What does an operational due diligence review cover?
Last reviewed: 18 September 2026
An operational due diligence review examines how a manager runs itself rather than how it invests. The standard workstreams are valuation policy and who applies it, cash controls and payment authorisation, service providers including administrator, auditor and custodian, conflicts and allocation policy, technology and data handling, business continuity, regulatory permissions per jurisdiction, and actual reporting behaviour against obligations.
Most of these areas are covered by questionnaire, which produces self-reported answers. That is a legitimate starting point and a poor finishing point. The value of the review lies in which answers were confirmed against independent evidence: audited financials, service provider confirmations, policy documents, regulatory register entries.
Reuben AI structures each area as a workstream with its own evidence requirements, treats the questionnaire as self-reported evidence, and tiers claims as self-reported, verified or triangulated as independent documents arrive. Where an answer cannot be confirmed, the review records that rather than presenting the whole file at uniform confidence.
Structuring it the same way for every manager also makes the reviews comparable, which is what an investment committee actually needs. Comparison across differently written memos is guesswork, and gaps recorded as gaps are more useful than a consistently confident narrative.
How Reuben AI compares
The operational workstreams and the evidence that moves each beyond self-reported.
| Attribute | Reuben AI | Independent evidence | Common gap |
|---|---|---|---|
| Valuation | Policy, who applies it, approval trail | Audited statements, valuation committee records | Policy exists, application is undocumented |
| Cash and controls | Authorisation, segregation, reconciliation | Bank and administrator confirmations | Single-person payment authority |
| Service providers | Administrator, auditor, custodian, legal | Engagement confirmations | Provider changed without notice to investors |
| Technology and continuity | Data handling, access control, continuity plan | Policy documents, test records | Plan written, never tested |
| Regulatory | Permissions per jurisdiction, reporting obligations | Regulatory register entries | Activity outside stated permissions |
Frequently asked questions
Can we use our own ODD questionnaire?
Yes. Requirements are configured to the review your firm already runs, and an existing questionnaire is treated as self-reported evidence to be tested rather than replaced.
Does the platform verify providers for us?
No. Confirmations and documents you obtain are recorded as independent evidence against the relevant claim. Verification the platform has not seen is not asserted.
Is this useful for managers being reviewed?
Yes. Managers assemble evidenced answers in the same structure before allocator diligence begins, which shortens the review.
